As primary sponsor, all communications in the membership process for the candidate(s) will be sent or copied to you. Any questions concerning the status of the membership process for the candidate(s) should come from you as primary sponsor.
In an effort to streamline the application process, and to move the candidate(s) through the system as efficiently as possible, it is important for the primary sponsor to understand the responsibilities of sponsors of new members at The Minikahda Club.
First, you should make certain that all members listed as additional sponsors have been personally contacted by you, before confidential questionnaires are sent to them. There have been several instances when members have refused to complete confidential questionnaires when they were not first contacted by the primary sponsor, and this will slow up the process considerably.
Second, candidates should never directly contact any of the additional sponsors. Some members find this embarrassing and have written negative comments in questionnaire responses when this has happened.
Third, you should follow up with the additional sponsors to ensure they complete the confidential questionnaires promptly after they are received. Some members do this diligently, while others do not. Until all confidential questionnaires have been completed, the application cannot be processed. You will periodically receive a notice of the status of the confidential questionnaires. Also, please remind the additional sponsors to check their SPAM filter in the event they did not receive the email.
Fourth, following receipt of all the confidential questionnaires, there is a requested meeting with someone either on the Membership Committee or the Board of Governors. You need to coordinate scheduling these meetings when contacted. Scheduling delays do slow down the process.
After you complete the information below, the Club Secretary will review the information. If complete, an email message will be sent to the candidate. This message will contain a link to the web site that will allow the candidate to complete the required information. Once the information has been completed by the candidate, it will be reviewed by the Membership Committee. If accepted, the confidential questionnaires will be emailed, or mailed, to all sponsors. In addition, non-household sponsored candidate(s) will be charged a non-refundable application fee of $1,000 to process their application and secure their place on the application waitlist. The preferred method of communication is by email. Your assistance in providing email addresses is most appreciated.
